TechEquity Collaborative is seeking an individual with strong project coordination skills and experience in planning events to join our team as Project Manager.  

Reporting to the Chief of Strategy & Engagement and working closely with programs, advocacy and research teams, the Project Manager will be responsible for leading a variety of special projects across all areas of the organization and will have primary responsibility for project managing all of TechEquity’s events (internal and public-facing). The ideal candidate will have a passion for our mission, exceptional organizational skills, and a proven track record of successful end-to-end management of events and projects.

The Project Manager will be a key team role in supporting organizational efficiency and collaboration. They will use their problem solving and communication skills to ensure that the projects and events stay on track and will coordinate with internal and external stakeholders as needed. A successful Project Manager will anticipate challenges and opportunities, work well in a team, own projects from inception to execution, reflect and apply learnings to future work, be comfortable with working in a dynamic and evolving environment, and deeply curious in our subject matter. 

This role is ideal for someone with the following traits:

  • 1-4+ years of experience in event planning and project management, preferably in an advocacy, non-profit or community-based organization
  • Proven track record of successfully planning and executing events of varying sizes and complexity
  • Strong organizational and time-management skills, with the ability to multitask and prioritize concurrent projects and day-to-day tasks within a  dynamic environment
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively with diverse stakeholders
  • Interest and experience in advocacy and housing, labor, economic equity and/or tech issues
  • High level of comfort learning new skills and tackling challenges

Specific responsibilities for this role include:

Events

  • Plan, organize, and execute a diverse range of events (in-person and remote), including quarterly team offsite meetings, board meetings, community appreciation events, expert panels or discussions, and donor, funder or legislative briefings
  • Develop event timelines and project plans, ensuring all events are executed within budget and deadlines
  • Coordinate with internal teams, vendors, and external partners to ensure seamless execution of events
  • Serve as the primary point of contact for all event-related inquiries and logistics, including venue selection, catering, accessibility needs, audiovisual needs, and transportation
  • Collaborate with the communications team to support event promotion and marketing efforts, including materials printing and distribution 
  • Evaluate the success of each event through post-event analysis and reporting, identifying areas for improvement and implementing best practices for future events 

Project Management  

  • Collaborate with teams across the organization to define project scope, objectives, and deliverables, ensuring alignment with organizational goals
  • Develop detailed project plans, schedules, and budgets, and track progress against established timelines and milestones
  • Coordinate with project teams, checking in on progress for timelines and deliverables
  • Facilitate regular project meetings to communicate updates, address challenges, and foster collaboration among team members
  • Identify and mitigate project risks, issues, and dependencies, and implement strategies to minimize potential disruptions to project timelines and deliverables
  • Serve as the primary point of contact on owned projects with project stakeholders, including internal teams, external partners, and funders, and ensure effective communication and stakeholder engagement throughout the project lifecycle
  • Serve as internal expert on project management, working with Chief Strategy & Engagement Officer in identifying and implementing best practices across the organization
  • Evaluate project outcomes and impact, gather feedback from stakeholders, and identify lessons learned and best practices to inform future projects and initiatives
  • Adhere to all relevant policies, procedures, and regulatory requirements, including compliance with grant agreements and reporting obligations
  • Lead special projects as assigned by senior management, which may include strategic initiatives, grant and donor projects, or other organizational priorities

Required Skills and Qualifications:

  • Ability to synthesize and communicate takeaways and action items from internal and external meetings to move projects and events forward
  • Commitment to be collaborative and creative to ideate new ways to solve problems
  • Strong written and verbal communication skills  
  • Fluency in project management software and tools, and ideally experience with ClickUp, to manage projects 
  • Familiarity with event planning, registration and hosting tools, like Eventbrite and Zoom  
  • Ability and/or experience planning events remotely

  • Location is remote with quarterly meetings, usually hosted in Northern California.

  • The salary range for this position is in line with our organizational payscale and ranges from $64,833-$81,042. This represents the present low and high end of the Organization’s pay range for this position. As of July 1, the range for this position will automatically increase based on the local consumer price index.  Actual pay will vary within that range based on various factors, including but not limited to experience. Salary range is set based on our headquarters region (100 driving miles from Oakland City Center). Outside of the headquarters region, the organization adjusts the payscale, not to exceed 10% adjustment, based on location to ensure equitable pay across the country. 
  • Our interview process includes:
    • 15-30 min phone screen with Chief Strategy & Engagement Officer
    • 60 min panel interview with members of our team
    • 45 min final interview with Senior Leadership Team
    • In total, a candidate should expect to spend no more than 2 hours and 15 min in the interview process. We do not require any tests or work outside of the actual interview itself.
